Full-Time Administrative Assistant for the AP for Academics
Jesuit High School Sacramento is currently accepting applications for a full-time Administrative Assistant for the Assistant Principal (AP) for Academics, open until filled.
Position Overview
Serves as a critical member of the Academic Administrative team, serving as a liaison between parents and the school, and supports the Assistant Principal (AP) for Academics.
- Compensation Range: $22.12 – $30.00 hourly, based on education and experience
- This position is classified as a full-time, non-exempt, hourly position

- Willing to work with the candidate on a mutually agreeable start date in preparation for the school year and will be completed in accordance with the published school calendar as instructed by the school’s administration
- New faculty and staff may be asked to or expected to complete some preliminary training and/or engage in preliminary onboarding experiences during the summer of 2026
Duties & Responsibilities
Scheduling, Course Selections/Student Placements, and Textbooks
- Provide information related to book purchasing, student placements/course selections, grades, AP Testing, and technology options for students.
- Provides help and or information to faculty related to both ebook and hard copy textbook options, related costs, availability, and edition changes.
- Collects and distributes student schedule requests for academic departments and modifies student placements based on department decisions in PowerSchool.
- Communicates electronically to students and parents the results of department placement decisions, student schedules, and other academic related information.
- Collects summer reading selections from the academic departments and posts these to the school’s website.
Reports and Committees
- Sends out Academic Board agendas and arranges details for the meetings
- Prepares and executes online surveys/reports for JSN, the Diocese of Sacramento’s Catholic Schools Department, state and federal agencies.
- Responsible for preparing and conducting electronic student perception surveys, counseling surveys, and JSN Student Profile surveys.
Report Cards and Grades
- Is responsible for the preparation and electronic distribution of student report cards, DFI lists, and reports.
- Prepares Honor Roll Certificates at the conclusion of each semester grading cycle.
Testing
- Works with the Assistant Principal and the Director of Testing to oversee the Advanced Placement Testing program, including ordering exams and collecting testing fees from test takers.
- Is responsible for setting up the online placement/challenge test registration portal and works with the Assistant Principal to set up for the administration of these tests to incoming freshmen students. Following testing, communicates the results of testing to families.
- Communicates with students and administers make-up final exams to students who were absent the day of a final exam.
- Maintains electronic files of Department finals for 5 years.
Professional Development
- Coordinates with San Juan Unified for professional development funding (title II) and for supplies (title IV) in collaboration with the AP for Curriculum and Instruction.
- Prepares and submits student information for the UC ELC program, including emailing and collecting parent permission to release student information forms.
General Office Duties/Other
- Maintains and updates the Academic Content available to students, parents, and the public on the school website, including the course catalog, course descriptions, and course prerequisites.
- Works with the Assistant Principal to monitor expenditures and to prepare annual budgets.
- Performs other duties as assigned by the Assistant Principal for Curriculum and Assessment.
Minimum Qualifications
- A college degree is strongly preferred.
- Must demonstrate excellent communication and interpersonal skills, including the ability to maintain confidentiality, have strong multi-tasking ability, and be a self-starter.
- Interest in Catholic Social Teaching and the work of social justice.
- Basic computer skills are required, including proficiency with Google Suite and Microsoft.
- Strong ability to learn new applications and train others in their use
Physical Requirements
- Ability to sit for long periods of time; to perform daily activities from a desk; to operate a computer and various office equipment. Occasional lifting and transporting of boxes up to 20 lbs.
- The individual in this position is required to work occasional predetermined evening and weekend special events.
